Courses/Workshops/Meditations

  1. Payment & Attendance

The full course, workshop, or meditation session fee is due at the time of booking. All payments are non-refundable. As places are limited and held exclusively for you upon booking, we kindly ask that you carefully consider your availability before reserving your place. Please ensure you are able to attend all scheduled dates before completing your booking.

  1. Travel & Attendance

    Participants are responsible for their own travel arrangements and associated costs. Still Embers accepts no liability for travel disruption, cancellation, or any costs incurred in travelling to or from a session.

  1. BOOKING

(a) In order to secure your place on a retreat a non-refundable deposit is to be paid to Still Embers at the time of booking. Until such time that the full amount becomes due this deposit will secure your booking. 

(b) Each individual attending a retreat is responsible for making his or her own booking with Still Embers.

(c) Bookings are made for the stated period of the retreat.

  1. PAYMENT

(a) You will be required to pay Still Embers a non-refundable deposit. The amount of deposit required may differ for each retreat. Please refer to the particular information about the retreat you wish to attend. 

(b) The balance (the full amount due minus any deposit paid) of the retreat must be paid to Still Embers in full no less than 60 days before the commencement of the Retreat. 

(c) Bookings made less than 60 days (not including the first day of the Retreat) before the commencement of the Retreat must be paid in full at the time of booking.

(d) If the balance of the Retreat is not received as stated above Still Embers reserves the right to cancel your booking and retain the deposit.

(e) Payments can be made via Bank Transfer, or through the booking system. Payment details can be emailed on request. 

(f) The cost shown for each individual Still Embers retreat is the exact amount to be received in GBP irrespective of any third party transfer charge or fluctuations in currency.

  1. CANCELLATION

Cancellation by you:

  • You may cancel your booking at any time, providing that any cancellation is made by you and notified to us in writing. Cancellation will take effect on the day that notification is received by Still Embers.

  • In the event of cancellation for any reason any deposit paid is non-refundable.

  • In the event of cancellation within 14 days prior to the commencement of the Still Embers courses no refund will be provided.

  • In the event of cancellation between 14 and 60 days prior to commencement of the Still Embers retreat a 25% refund of full balance price will be provided.

  • In the event of cancellation more than 60 days prior to the commencement of the Still Embers retreat where the full amount has been paid a 100% refund will be provided, less any deposit paid.

  • Refunds and returned payments are normally settled within 10 working days of cancellation.

  • Any refunds provided will not include the deposit.

  • We will endeavor to fill any cancelled places on any Still Embers retreat and if another person can be found to fill your place then we may offer you a refund of up to 50% at our discretion.

Cancellation by us:

  • Occasionally, due to circumstances beyond the control of Still Embers, changes may have to be made and cancellations may occur. While we will endeavor not to do so, Still Embers reserve the right to cancel a Retreat if necessary. 

  • In the unlikely event of a cancellation by us we will offer a full refund, which we will endeavor to provide within 10 working days. An optional transfer to an alternative Retreat will be offered if possible.

  1. AMENDMENTS

(a) Occasionally due to situations beyond our control, changes may have to be made. Still Embers reserve the right to alter a facility, accommodation, teacher or activity if necessary.

(b) If any significant changes become necessary then Still Embers will inform you as soon as possible.

  1. LIABILITY

(a) Still Embers accept responsibility for ensuring that the Retreats provided are as described.  If any changes are necessary then we will do our best to ensure that any activities, alternative facility or accommodation is of a similar standard to that originally advertised.

(b) Still Embers cannot accept any liability for cancellations, delays or changes caused by war, threat of war, terrorist actions or threats, closure of airports, civil strife, industrial action, natural disaster, technical problems to transport, staff cancellations, unforeseen changes in your personal circumstances or other events beyond our control.

(c) Meditation sessions are undertaken at your own risk. Still Embers cannot accept liability for any injuries you may incur. Still Embers is not liable for any medical or psychiatric conditions, which may develop during or subsequent to the retreat.

(d) You accept responsibility for your own personal possessions and valuables during any Still Embers retreat.  Still Embers cannot accept liability for the loss of, or any damage to your personal property during any retreat.

  1. TRAVEL ARRANGEMENTS

(a) All travel arrangements to and from the Retreat are your responsibility and made at your own cost.  It is your responsibility to arrange your travel to and from the Still Embers retreat venue and to ensure that you have any documentation required to travel. 

(b) Still Embers cannot be held liable for any consequences arising from delays or cancellations with any third party you have made travel arrangements with.

(c) Transfers to and from the Retreat will be your responsibility and made at your own cost, unless otherwise specified.

  1. INSURANCE

(a) We recommend that you obtain travel insurance to cover the activity of your Retreat.

(b) Any insurance should cover cancellations, sickness, personal losses and any usual risks associated with such an activity.

(c) We advise that you bring your policy with you in case of emergency.

  1. HEALTH AND WELLBEING

(a) It is your responsibility to ensure that you are medically and physically fit enough to attend the Still Embers retreat and participate in activities provided.  Please be mindful of your body’s capabilities during the Retreat and refrain from participating, or cease participating in any activities which cause you any discomfort.

(b) If you have any medical conditions, health complaints and/or are taking any medication, please advise us at the time of booking.  If you experience any injury or discomfort during the Retreat then please advise your teacher immediately.

(c) It is your responsibility to also advise us of any dietary requirements at the time of booking. 

(d) If we consider that you have any health conditions that may be affected by the activities offered during the Retreat, we reserve the right to ask you to refrain from participating in these activities.  Any such decisions will be made only in the interests of your wellbeing.

(f) It is your responsibility to comply fully with any health and safety measures introduced by Still Embers.

  1. ACCOMMODATION

(a) This only applies to accommodation booked through Still Embers.  This does not apply to Urban Retreats where no accommodation is provided. 

(b) Accommodation will vary at different Retreats and all accommodation details will be provided in the particular information about your Retreat. 

(c) If you book a shared room through Still Embers we will ensure that any such rooms will only be shared by members of the same sex.

  1. COMPLAINTS

(a) We are confident that you will not find cause for concern during your retreat.  However, if you do experience a problem during your retreat, please speak to your Retreat Facilitator or Teacher as soon as possible.

(b) Please note that we cannot be responsible for the individual behaviour of any group member or any other guest sharing your accommodation.

(c) In the unlikely event that you feel you have cause for complaint contact Lyndsay Majer within 14 days of the end of your retreat at, lyndsay@stillembers.co.uk

  1. PRIVACY POLICY

(a) Your privacy is important to us.  Any personal information you provide to Still Embers will be used only for the service you requested.

(b) We will not sell, distribute or lease your personal information to third parties.

(c) We will not store any payment details provided to Still Embers.

(d) If you have previously agreed to us using your personal information for Still Embers marketing purposes, you may change your mind at any time by emailing lyndsay@stillembers.co.uk.

(e) If you believe that any information we are holding about you is incorrect or incomplete, please let us know so that we may correct any information found to be incorrect.
